Job description

To assist in managing Company property portfolio in the Western Cape. This role serves as a key point of contact for clients and requires strong relationship management skills.

Key Responsibilities : General Administration

  • Manage email correspondence : assess, assign, resolve, and close matters.
  • Prepare AGM notices and attend meetings.
  • Ensure legal compliance and accurate meeting minutes or recordings.

Insurance Management

  • Coordinate with brokers to renew and update annual policies.
  • Ensure fire equipment servicing and documentation.
  • Manage insurance claims and dispatch service providers.
  • Obtain and distribute audited financial statements.
  • Coordinate with accountants and auditors.
  • Ensure timely communication and approvals before AGMs.

Documentation & Compliance

  • Distribute notices via email, hand delivery, or post.
  • Update conduct rules in consultation with trustees.
  • Assist with rule registration and legal consultations.

Office Maintenance

  • Maintain statutory filing and databases.
  • Keep client files current and organized.
  • Strong interpersonal and networking skills

Qualifications & Experience : Required :

  • Matric and Diploma in Property Management
  • Proficiency in WeconnectU and Excel

  • Paddocks courses in body corporates and HOAs
  • 1–3 years of residential or estate management experience
  • Experience in reputable property management companies
