Key Responsibilities
Project Coordination and Administration :
- Assist in planning, scheduling, and monitoring small to medium projects related to the client service portal and academy operations
- Support internal digitization pods by documenting processes, tracking progress, and escalating issues to senior project managers
- Maintain project documentation, including status reports, risk registers, and action logs
- Coordinate meetings, prepare agendas, and follow up on assigned tasks
Compliance and Documentation Management :
- Manage and track learnership documentation to ensure compliance with SETA and QCTO standards
- Work closely with assessors, moderators, and learners to ensure accurate submission and timely record-keeping
- Perform regular audits of documents and systems to confirm accuracy and compliance
- Support external audits and reporting requirements
Client Service Portal Support :
- Provide administrative support for the client service portal, ensuring accurate learner and programme information is updated
- Troubleshoot and escalate portal-related issues to relevant technical teams
- Support clients, learners, and internal staff with queries related to the portal
Process Automation and Digitization :
- Assist in identifying manual tasks within academy operations that can be automated
- Support testing and rollout of digital solutions developed by the digitization pods
- Document new workflows and train internal users where required
Skills and Competencies :
- Strong organisational and administrative skills
- Basic understanding of project management methodologies (Agile, Waterfall)
- Knowledge of SETA and QCTO compliance requirements (advantageous)
- Proficiency in MS Office and willingness to learn project management / digitization tools (MS Teams, SharePoint, Power BI, or workflow automation tools)
- Strong attention to detail and accuracy
- Good communication and interpersonal skills
- Ability to multitask and manage deadlines effectively
Qualifications and Experience :
- Diploma or Degree in Project Management, Business Administration, Information Systems, or related field
- 1–2 years of experience in administration, project support, or compliance (internship / graduate programme included)
- Exposure to education, training, or SETA-related environments (preferred)
