Job Title: Order Processing Specialist (Entry-Level)

Department: Customer Services / Supply Chain Operations – Diagnostics Division

Reports To: Order Management Team Lead / Logistics Manager / Customer Service Manager

Location: Midrand South Africa

ERP System: SAP (Order-to-Cash module)

Job Purpose:

To ensure accurate and timely processing of customer diagnostic product orders within Siemens Healthineers' SAP system, in compliance with healthcare regulations and internal quality standards. The role supports customer satisfaction through efficient coordination with warehousing, logistics, and finance teams.

Your tasks and responsibilities: (under supervision)

  • Accurately capture customer orders (manual or EDI) for reagents, instruments, and consumables in SAP (Sales Order Processing: VA01/VA02/VA03).
  • Review and validate orders against customer contracts, pricing agreements, and product availability.
  • Coordinate with logistics, planning, warehouse, and transport teams to ensure timely delivery of diagnostic products.
  • Communicate order confirmations, shipping timelines, and exceptions to internal stakeholders and customers.
  • Monitor and follow up on open orders, backorders, blocked orders, and delivery issues.
  • Ensure batch tracking and serial number requirements are managed accurately.
  • Generate and dispatch delivery documents and support invoice generation via SAP SD billing (VF01).
  • Escalate issues related to credit blocks, incomplete master data, product shortages, or urgent orders.
  • Support compliance with Siemens Healthineers’ quality procedures, SOX controls, and healthcare regulations.

Tools and Systems Used:

  • SAP SD (Sales & Distribution): VA01, VA02, VA03, VL01N, VL02N, VF01, VA05
  • Microsoft Office: Outlook, Excel (tracking, pivot tables), Teams
  • Document Management System: For SOPs, customer docs, and shipping records
  • Transportation Management Tools: For shipment tracking and proof of delivery
