Role: Junior Operations Executive

Working pattern: Hybrid - Office in Newlands, Cape Town

Salary: R18,000 per month

Junior Operations Executive – Role Overview

Our client is looking for a smart, eloquent generalist with 1+ year of experience in an operations/PA role who is highly organised, proactive, and has a strong intuitive grasp of how businesses operate. Comfortable wearing multiple hats and connecting the dots across people, processes, and priorities to keep things moving efficiently.

Responsibilities

Primary Point of Contact for all employees

  • Act as the daily liaison for all queries from and to our client’s employees.
  • Coordinate reference collection from employees, including scheduling and (ideally) conducting reference calls.
  • Manage onboarding logistics for new employees (excluding interviews), including scheduling, collecting required information, and responding to basic contract queries using GPT.
  • Monitor and update availability calendars for all employees.
  • Create and manage a business WhatsApp group, ensuring all contact details for employees are accurate and up to date.
  • Facilitate collaboration between employees by connecting them as needed.
  • Set up and maintain framework folders for each employee in Google Workspace, keeping them organised and current.

Sales Support

  • Assist the sales lead by ensuring all leads are tracked and followed up.
  • Nurture warm leads (especially “not now, maybe later” types) to keep them engaged.
  • Make occasional follow-up calls to unresponsive prospects as a PA - no selling required.
  • Send out sales proposals using the 99% templated PowerPoint decks.

LinkedIn Marketing

  • Own and manage internal LinkedIn outreach campaigns.
  • Coordinate with the client’s 3rd-party LinkedIn agency and onboard new employees to the platform.
  • Ensure LinkedIn profiles are up to date, well-branded, and aligned with the client’s company identity.

Client Contracts

  • Organise and manage client contracts, ensuring the correct IP versions are used.
  • Maintain and own a master contract exceptions sheet to track variations.

Employment Contracts

  • Ensure all existing employees sign the latest version of our contract.

Research & Special Projects

  • Conduct ad hoc research tasks, such as evaluating 3rd-party AI course providers or suppliers.

Landing Pages

  • Populate and manage sector-specific landing pages in WordPress, using existing templates for marketing campaigns.

Scheduling & Calendar Support

  • Assist the Sales Lead with scheduling across two calendars.
  • (Potential future task) Monitor the Sales Lead’s inbox to ensure timely responses.
