Job Description

Paedspal seeks to employ a Junior Office Administrator on a fixed-term basis, to assist the Senior Office Administrator with general administrative tasks and provide backup support to the Patient Administrator, including reception duties. The ideal candidate should have a passion for admin, keeping things organized and wanting to be part of an organisation who helps patients from diverse backgrounds with a serious illness.

Appointments are on a contract basis which is renewed based on the availability of funding.

Roles and Responsibilities

  • General administration support to the Senior Office administrator as required
  • Maintain Admin office at all times, ensure the Wi-Fi, telephone system is in good working order, ensure printer/copiers is in a good working condition
  • Private patient administration: Ensure that the correct private patient billing procedure is followed.
  • Financial Administration: Assist with recon of the petty cash system and patient transport fund. Issuing of patient transport funds.
  • Donations Management: Receive and record all incoming in-kind donations and be responsible for the thank you procedure.
  • Partners support: Monthly vehicle and expense reporting for the Footprints 4 Sam Trust, including ad hoc requests
  • Education and Training: Support the Education and Training manager with administrative tasks, workshop preparation and arrangements
  • Backup Patient Administrator Tasks:
    • Front office management: Keep reception area organised, neat and tidy. Schedule patient’s appointments in an online diary. Provide a friendly welcome to all visitors. Prepare refreshments as needed. Answer all incoming calls and take messages where necessary.
    • Communication: Manage Paedspal’s WhatsApp line, ensuring all patient messages are responded to timeously.
    • Team Support: Provide patient-related admin support as needed. Provide support for patient-related workshops, events and support groups.
    • Clinic support: Confirm and coordinate all appointments. Ensure that all patients folders are requested and available for all appointments. Accountable for ensuring hospital folders are returned timeously.
    • Transport coordination: Arrange together with the Footprints 4 Sam transport team all patient pickups and drop offs for Paedspal appointments
    • Patient Administration: Ensure that all new patients completes all necessary forms, and that a new patient folder is created. Retrieve and file patient folders.
    • Patient data management: Data capture of all patient information on the patient database systems. Google Drive and Healthware.
Qualifications And Requirements

  • Minimum educational qualification: Grade 12 with English and Mathematics as subjects
  • Must have excellent communication skills English (written and verbal) Xhosa will be advantageous
  • Must have at least 6 months administration experience in a professional environment
  • Excellent, above average computer skills, including word, excel, and have a good command of online resources
  • Must show excellent attention to detail, and be able to multitask in a busy environment
  • Dynamic, proactive, confident communicator, flexible, and empathetic and well presented
  • Clear criminal record, and credit check
  • Medical Receptionist experience will be advantageous
  • Based in Cape Town
