To ensure the efficient and effective supply of goods and raw materials for Carrol Boyes, this role involves ensuring all necessary materials are available for production through order processing, order fulfillment, managing shipping documentation, and ensuring timely delivery.
Essential duties and responsibilities:
Logistics
- Use specialized software to complete bills of lading, certificates of weight, purchase requests, and invoices.
- Support and implement all supply chain procedures, including coordinating deliveries and managing shipping documentation.
- Update daily shipping schedules and communicate estimated times of arrival to the business.
- Monitor and track shipments, handle daily ETA queries.
- Send statutory documents to clearing agents (e.g., CI, PL, COO, BOL).
- Complete and sign clearing instructions, make bookings with freight forwarders, and approve shipping rates.
- Request bond splits, liaise with operations regarding deliveries, and verify container seals and numbers upon arrival.
- Open containers, document packing via photographs.
Buyer responsibilities:
- Request pro forma invoices from suppliers and negotiate item prices.
- Request and compare costings, and seek approval from CPO for pricing.
- Place orders using Odoo, validate purchase orders, and confirm production timelines.
- Coordinate packaging updates, follow up on deposits, and send proof of payments.
- Update payment details, monitor production, and coordinate third-party inspections.
- Request final payments, follow up, and document final payments on the shipping schedule.
- Generate weekly payment reports for finance, create POs for over-delivered items, and inspect goods upon arrival.
- Address shipment and inventory issues, liaise with suppliers and clearing agents, and communicate stock problems.
Support and reporting:
- Support the Financial Department with weekly meetings and reports.
- Participate in weekly meetings regarding campaigns and launch dates.
Additional requirements:
- 1-2 years of logistics management experience and international shipping experience.
- Diploma or Bachelor's degree in Supply Chain Management, Logistics, or relevant field.
- Proficiency in Microsoft Office and logistics software.
- Strong skills in problem-solving, organization, communication, and personnel management.
- Valid RSA driver’s license, no travel restrictions, high energy, and focus.
- Adherence to company policies, punctuality, and ability to perform essential job functions safely.
