Purpose :
To ensure the efficient and effective supply of goods and raw materials for Carrol Boyes, ensuring all materials necessary are available for production by managing order processing, order fulfillment, shipping documentation, and timely delivery of goods.
Essential duties and responsibilities :
Logistics
- Filing documents and tracking orders
- Entering data into specialized software
- Completing bill of landings, certificates of weight, purchase requests, and invoices
- Supporting and implementing supply chain procedures, including:
- Updating daily shipping schedules
- Sending out daily shipment ETA schedules
- Monitoring and tracking shipments
- Responding to daily ETA queries
- Sending statutory documents to clearing agents (e.g., CI, PL, COO, BOL)
- Completing and signing clearing instructions
- Booking shipments with freight forwarders
- Approving shipping rates
- Requesting bond splits
- Liaising with the operations department regarding deliveries
- Checking seals and container numbers upon arrival
- Opening containers and photographing packing arrangements
Buyer
- Requesting PIs from suppliers
- Negotiating item prices with suppliers
- Requesting costings with updated prices from inventory management
- Comparing old and new costings before submitting to CPO
- Providing cost breakdowns to CPO
- Getting price approval from CPO
- Placing orders with suppliers
- Creating purchase orders in Odoo
- Sending POs for validation
- Confirming production timelines with suppliers
- Updating relevant departments on packaging and changes
- Requesting and following up on deposit payments from finance
- Sending proof of payment to suppliers
- Updating shipping schedules with payment details
- Providing weekly feedback on production status
- Advising QC for third-party inspections post-production
- Requesting and following up on final payments
- Sending final proof of payment to suppliers
- Updating final payments on shipping schedules
- Sending weekly payment reports to CFO
- Creating new POs for over-delivered items
- Inspecting goods upon arrival
- Requesting new item codes in Odoo
Supplier & Internal Customer Liaison
- Resolving shipment and inventory issues
- Liaising and negotiating with suppliers
- Monitoring shipments, costs, and timelines
- Supporting the financial department
- Participating in weekly meetings with CFO & CPO regarding cash position, campaigns, and launch dates
- Reporting to CFO as required
- Liaising with clearing agents and suppliers
- Communicating stock problems to suppliers
Any other duties as assigned by the Supervisor.
Minimum requirements
- 1-2 years of logistics management experience
- International shipping experience
- Experience importing supplies
Education
- Diploma or Bachelor's degree in Supply Chain Management, Logistics, or relevant field
- Knowledge of latest supply chain management developments
- Proficiency in Microsoft Office and logistics software
