Job Description

PRIMARY RESPONSIBILITIES

All operations within the Logistics Department relating to Sample Receiving, storage, logging and tracking at Randfontein Laboratory.

To outline the responsibilities and authorities of the login clerk and person weighing prills at SGS Randfontein.

SPECIFIC RESPONSIBILITIES

  1. Receive, sort, weigh and label as per Sorting, receiving competence modules.
  2. Track samples/jobs as per Sample Tracking working instruction.
  3. Assist with storage duties as per Storage, return or discard working instruction.
  4. Communicate with Logistics Supervisor regarding the daily operations in the Login department.
  5. Report immediately any discrepancies, broken or torn parcels found during sorting to the Logistics Supervisor.
  6. Ensure all jobs/samples are profiled in SLIM accurately and in a timely manner after sample sorting.
  7. Ensure all paperwork is scanned daily accurately.
  8. Report immediately any equipment that is not functioning correctly to the Logistics Supervisor.
  9. Ensure that housekeeping, health and safety, and quality policies and procedures are followed and adhered to.
  10. Adhere to all quality and safety requirements of the SGS management system.
  11. Document all samples received in the register.
  12. Log received samples into the SLIMS using work orders from the client.
  13. Print sample labels.
  14. Ensure samples are sorted correctly before labeling and boxing the samples.
  15. Follow all quality directives of this Department.
  16. Weigh prills using a micro-balance and record the weights in the SLIM.
  17. Lock the prills away in the safe at the end of the shift.
  18. Bring all problems (technical and managerial) to the attention of the Chemist in FAS/Senior Chemist.
  19. Adhere to all quality, health and safety rules and regulations.
  20. Ensure that the housekeeping in the receiving area as well as the micro-balance room is in order and conforms to Laboratory Quality Management System (ISO).
  21. Record any day-to-day repairs, maintenance, calibration, and verification of instruments.
  22. Work in other areas and/or Divisions if asked to do so.
  23. Perform any other reasonable tasks as assigned by direct line manager.

COMPLIANCE & AUTHORITY

  1. Cease the use of any equipment that may be deemed to constitute a safety hazard or enter hazardous environments without the necessary knowledge and protection and report the situation to higher authority to take action.
  2. Cease to carry on with work that may affect the quality (integrity) of services and report the situation to higher authority to take action.
  3. Initiate a formal improvement request when a deviation of the system occurs, possible improvements are identified, or when nonconformity is identified.
  4. Any person has the right to refuse to perform work that may damage the environment in an imminent and serious way and to report such a situation.
  5. Assist with production coordination with specific collaboration with other sections on sample movement.
  6. Assist with the training and verification of Sample Logistics Staff.
  7. Check on daily staff attendance and address any problems timely and pro-actively.
  8. Ensure that required consumables and inventory stock levels/PPE for Fire Assay are monitored and maintained for daily, night & weekend shifts.
  9. Ensure the maintenance of the laboratory instruments and apparatus is performed and maintain equipment records, logbooks, files, and registers accordingly.

Qualifications

Education

Minimum Grade 12. Mathematics and Science will be an added advantage.

Experience

Competent in logging of samples and working with CClas. A responsible person to work with prills. Able to interact with clients, personally or via e-mail. Previous experience in Sample Logistics, preparation and analysis of samples would be advantageous. Experience and understanding of the information management system.

REQUIRED SKILLS

  1. Fluent in English (read, write and speak).
  2. Good Analytical Skills.
  3. Strong experience with SLIMS.
  4. Ability to work well under pressure and tight timelines.
  5. Ability to prioritize activities and be flexible to adjust to a variety of situations.
  6. Basic knowledge of Microsoft Office.
