Bluespec Holdings seeks an HR Administrator in Johannesburg to efficiently manage HR administration and compliance-related tasks. This includes conducting employee checks, supporting disciplinary procedures, and maintaining stakeholder relationships. The ideal candidate will possess strong administration and interpersonal skills, ensuring adherence to company standards and legislative requirements.
1. Ensure the timely and accurate completion of all administration tasks.
Obtain quality information for new employees from the branch HR administrator and ensure the employee is loaded onto the clocking system.
Complete all new starter administration in line with HR standards.
Conduct relevant checks on prospective employees.
Complete all general administration accurately.
Maintain regular probation reviews, ensuring they are completed within the branches.
2. Provide support and assistance with disciplinary and grievance procedures.
Schedule meetings with the labour consultant to chair disciplinary inquiries.
Gather relevant information regarding transgressions from line or branch administrators to prepare hearing notifications.
Send hearing notifications to the branch HR administrator, line manager, and HO HR administrator.
Ensure that outcomes of hearings are communicated to payroll for appropriate action.
Guide management and assist with disciplinary issues such as warnings, counseling sessions, and grievances, including attendance at CCMA/DRC cases.
Ensure the timely and accurate completion of month-end reports.
Complete HR reports monthly and assist with ad hoc reports as needed.
4. Ad hoc functions
Update and create job titles and codes, ensuring correct skill levels are linked.
Assist with health and safety requirements.
Ensure leave scheduling is managed at branches.
Conduct audits of employee files and general information periodically.
Assist branches with staffing requirements to maximize efficiency and prevent overstaffing.
Obtain signed job profiling at the branch level.
5. Relationship building with key stakeholders
Develop and maintain relationships with stakeholders at branch level to stay updated on HR matters.
Focus on communication and guidance to ensure adherence to group standards.
Ensure compliance internally and at branch level.
Guide and ensure that minimum annual salary increases comply with legislation.
Oversee adherence to relevant legislative acts and agreements such as MIBCO, PSIRA, BCEA, and EE.
Ensure EE meetings are conducted and records maintained at each branch.
Work on improving branches' adherence to HR and payroll deadlines.
Complete all duties in line with the HR Standard Operating Manual.
Maintain cost control awareness and verify employment authorizations and replacement notifications.
