HR Practitioner position currently available in Paarl.
Duties and Responsibilities:
- Payroll Management
- Manage/oversee the accurate and timely payroll processing.
- Checking weekly that all updated hours are done per department weekly and send to Financial Manager
- Maintain payroll records and address employee payroll queries.
- Plan and manage with department head all leave balances within the allocated annual days.
- Employee Lifecycle Management
- Recruitment and Selection
- Collaborate with hiring managers to define job requirements, draft the required job outline for the various positions.
- Coordinate with recruitment agencies where applicable.
- Manage the end-to-end recruitment process, including screening, interviews, reference recording and offer negotiations.
- Ensure entire HR pack is completed with all required information for onboarding purposes within 2 weeks of starting work.
- Onboarding and Induction
- Design and execute induction programs for new hires, ensuring alignment with company culture.
- Onboarding old staff during off-season, ensuring all staff goes through the induction at least once per year
- Conduct onboarding sessions, including all documentation and policy training – weekly dates.
- Offboarding
- Manage resignation and termination processes, ensuring compliance with legal requirements.
- Conduct exit interviews and provide insights for retention strategies.
- Filing and Documentation
- Maintain and update all employee records, ensuring availability and compliance with data protection laws (POPIA).
- Maintain a manual and electronic employee details record for easy access by authorised personnel.
- Prepare documentation for audits and compliance checks by Department of Labour
- Reporting
- Weekly Reports
- Recruitment progress and pipeline updates.
- Disciplinary and grievance outcomes
- Staff cost VS Turnover – making sure the financial accountant has the info he needs to complete
- Updates on compliance with Skills Development Plans
- Monthly Reports
- Updated report on all leave taken and approved the previous month
- Workforce analytics (turnover, absenteeism, time-to-hire).
- Payroll summary reports: Variance reporting on head count and labour cost, overtime ext
- Quarterly/Annual Reports
- Employment Equity & Skills Development Reports.
- Training and development outcomes aligned with Skills Development Levies (SDL).
- Comprehensive HR performance metrics for executive review.
- Employee Relations
- Serve as the first point of contact for employee grievances and disciplinary processes, after direct management has failed to sort out the problem.
- Implement employee engagement and wellness initiatives.
- Ensure all HR practices align with the LRA, Basic Conditions of Employment Act (BCEA), and other South African labour legislation.
- Act as the lead representative in union engagements and collective bargaining agreements.
- Prepare and manage all cases for the CCMA, including drafting notices and managing dispute resolution processes.
- Training and Development
- Identify training needs and coordinate development programs.
- Maintain training records and track compliance with required certifications.
- Develop a training schedule for all departments on a quarterly basis
- Policy and Documentation
- Develop, implement, and regularly update HR policies and procedures.
- Maintain a comprehensive filing system for all employee records (physical and electronic).
- Ensure confidentiality and compliance with data protection regulations. (POPIA)
- Compliance
- Ensure adherence to labour legislation and internal policies.
- Manage all workplace policies, including leave, attendance, and performance reviews.
