Duties And Responsibilities
New Employee Onboarding & Payroll/HR Administration
- Oversees foreign national approval processes for fixed-term staff, ensuring pre-approval from National HR in line with Foreign National Guidelines.
- Loads new employees on the Onboarding/HR Engagement APP prior to start date and ensures completion of details for payroll deadlines.
- Provides payroll documentation to new employees and ensures upload into the HR & Payroll System before deadlines.
- Manages manual payroll process for employees unable to use the APP, ensuring all documents meet audit standards.
- Verifies completeness of payroll information and supporting documents for new employees.
- Follows up on queries or missing information from onboarding profiles or manual forms.
- Captures qualification details and uploads copies into the HR & Payroll System in the employee's start month.
- Sends payroll forms requiring sign-off to the relevant departments in line with deadlines and PoPIA regulations.
- Ensures IT setup for new employees prior to start date.
- Sends a welcome email with all necessary first-day information.
- Notifies campus staff of new hires and arranges first-day meet and greet.
- Prepares induction packs, including campus and company information, policies, and branded gifts.
- Customizes onboarding processes to enhance impact.
- Conducts campus HR induction and coordinates workspace setup.
- Gains sign-off for induction files from managers and new employees.
- Schedules and coordinates first-week induction sessions with senior management.
- Follows up on probation reviews at 30-day milestones, ensuring completion and addressing concerns.
- Provides first-line support for probation issues and escalates as needed.
- Issues login credentials and conducts HR & Payroll System training for new employees and managers.
- Supports training plan arrangements and documentation.
- Ensures compliance with PoPIA in onboarding and HR/payroll administration.
HR & Payroll Administration for Existing Employees
- Advises on leave policies and manages leave applications.
- Processes maternity, mileage, and additional earnings claims, ensuring accuracy and deadlines.
- Oversees foreign national permit tracking and manages employee terminations and property returns.
- Processes promotions, employment changes, and communicates HR policies.
- Maintains orderly documentation and ensures version control and confidentiality.
- Provides benefits support and liaises with external providers.
- Ensures PoPIA compliance across all HR/payroll processes.
Casual, Invigilator & Coach Payroll Administration
- Verifies and processes payroll documentation for casual staff, invigilators, and coaches.
- Handles queries and ensures payroll accuracy.
- Captures timesheets and manages verification checks.
- Ensures compliance with PoPIA in casual payroll processing.
Training & Development Support
- Supports training logistics and records management.
- Assists with talent reviews and training needs assessments.
- Supports online study applications and ensures PoPIA compliance.
Disciplinary/Performance Management Support
- Reports and investigates disciplinary and performance issues.
- Prepares documentation and attends meetings.
- Supports performance reviews and advises staff on policies.
- Stores related documentation securely and in compliance with PoPIA.
Leave Analysis & Reporting
- Audits leave applications and balances.
- Flags issues and supports proactive leave management.
- Prepares regular leave reports for management.
- Ensures PoPIA compliance in leave data management.
Recruitment & Talent Acquisition Support
- Uploads recruitment requests and assists with shortlisting, interviewing, and reference checks.
- Performs screening checks and manages documentation.
- Prepares employment contracts and supports salary review processes.
- Tracks vacancies and supports process streamlining.
- Ensures PoPIA compliance in recruitment activities.
General Support
- Coordinates campus HR events and logistics.
- Participates in senior management meetings and supports national HR projects.
- Provides training and relief support as needed.
- Follows PoPIA legislation in all HR activities.
Competencies and Qualifications
- Advanced computer literacy and system proficiency.
- Strong administration, planning, and communication skills.
- High integrity, confidentiality, and proactive work ethic.
- Minimum of a National Diploma (NQF Level 6) in HR or related field; Degree or Advanced Diploma (NQF Level 7) preferred.
- 1-2 years recruitment and IR/disciplinary experience; 3 years HR administration.
- Working hours: Monday to Friday, 08:00 - 17:00.
