A growing company is seeking an HR Administrative Officer to manage HR functions accurately and efficiently. Responsibilities include providing support with disciplinary procedures, ensuring compliance with HR legislation, and building relationships with key stakeholders. The ideal candidate has strong organizational skills, attention to detail, and experience in HR administration.
Ensure the timely and accurate completion of all administrative tasks.
Obtain quality information about new employees from the branch HR administrator and ensure the employee is loaded onto the clocking machine by the HR administrator at the branch.
Complete all new starter administration in line with HR standards.
Perform relevant checks on prospective employees.
Complete all general administration accurately.
Maintain regular probation reviews, ensuring they are completed within the branches.
Provide support and assistance with disciplinary and grievance procedures.
Schedule meetings with the labor consultant to chair disciplinary inquiries.
Gather relevant information regarding transgressions from line or branch administrators to prepare hearing notifications.
Send hearing notifications to the branch HR administrator, line manager, and HO HR administrator.
Ensure that the outcome of hearings is communicated to payroll for appropriate action.
Guide management and assist with disciplinary issues such as warnings, counseling sessions, and grievances.
Attend CCMA / DRC cases as required.
Ensure the timely and accurate completion of month-end reports.
Complete HR reports monthly and assist with ad hoc reports when necessary.
Ad hoc functions
Update and create job titles and codes, ensuring the correct skill level is linked to each job title.
Assist with health and safety requirements as needed.
Ensure leave scheduling is conducted at the branches.
Conduct audits on employee files and general information on an ad hoc basis.
Assist branches with staffing requirements to maximize efficiency and prevent overstaffing.
Obtain signatures for job profiling at the branch level.
Relationship building with key stakeholders
Develop and maintain fundamental relationships with stakeholders at branch level to ensure they keep you informed of all HR-related matters.
Focus on communication and guidance that promotes adherence to group standards.
Ensuring compliance internally and at branch level
Guide and ensure that minimum annual increases comply with legislation.
Oversee adherence to relevant legislative acts and agreements, such as MIBCO, PSIRA, BCEA, and EE.
Ensure EE meetings are conducted and files are maintained at each branch.
Continuously work on improving branches' adherence to HR and payroll deadlines.
Complete all duties in line with the HR Standard Operating Manual.
Maintain cost control awareness and scrutinize employment authorizations and replacement notifications.
