Main Responsibilities
- Administration
- Ensure timely and accurate completion of all administrative tasks.
- Obtain quality information of new employees from the branch HR administrator and ensure the employee is loaded onto the clocking machine.
- Complete all new starter administration in line with HR standards.
- Perform relevant checks on prospective employees.
- Complete all general administration accurately.
- Regularly maintain probation reviews, ensuring they are conducted within the branches.
- Provide support and assistance with disciplinary and grievance procedures.
- Schedule meetings with labour consultants to chair disciplinary enquiries.
- Gather relevant information regarding transgressions from line or branch administrators to prepare hearing notifications.
- Send hearing notifications to branch HR administrators, line managers, and HO HR administrators.
- On receipt of hearing outcomes, ensure line managers communicate decisions to payroll for appropriate action.
- Guide management and provide assistance with disciplinary issues such as warnings, counseling sessions, grievances, etc.
- Attend CCMA / DRC cases.
- Reporting
- Ensure timely and accurate completion of month-end reports.
- Complete monthly HR reports.
- Assist with compilation of ad hoc reports where necessary.
- Additional Functions
- Update and create job titles and codes, ensuring correct skill levels are linked.
- Assist with health and safety requirements.
- Ensure leave scheduling at branches.
- Conduct audits on employee files and general information as needed.
- Assist branches with staffing to maximize efficiency and avoid overstaffing.
- Obtain job profiling signatures at branch level.
- Relationship Building
- Develop and maintain relationships with key stakeholders at branch level.
- Ensure effective communication and guidance to ensure adherence to group standards.
- Compliance
- Ensure internal and branch-level compliance with relevant legislation and agreements (e.g., MIBCO, PSIRA, BCEA, EE).
- Conduct EE meetings and maintain related documentation.
- Improve adherence to HR and payroll deadlines and standards.
- Manage duties in line with the HR Standard Operating Manual.
- Exercise cost control and scrutinize employment authorizations.
