Job description

A well-established engineering organisation is seeking a highly skilled and experienced HR and Finance Assistant to join their team.

Minimum Requirements (Please note that if you don't meet ALL the minimum requirements, your application will not be considered):

  • Minimum 2 years of administrative experience; HR and Finance experience are a bonus.
  • At least Grade 12 Senior Certificate.
  • Must have a valid Driver's License.
  • Proficiency in PC literacy and experience with MS Office applications.

Duties

The Human Resource & Finance Assistant reports directly to the HR Manager and CFO. The role involves managing day-to-day administrative duties within the HR and Finance Departments.

  • Prepare monthly credit card reconciliations.
  • Purchase company groceries and consumables.
  • Manage and review filing and office systems.
  • Follow up on debtor accounts.
  • Provide administrative support to the project team.
  • Assist with company social events.
  • Administer stock control systems.
  • Assist with the uptake of ISO documentation.
  • Manage stationery requirements and purchasing.
  • Liaise with suppliers.
  • Maintain and update HR databases (employee records, leave records, work rosters, disciplinaries, etc.).
  • Assist in payroll preparation by providing relevant and accurate data, such as absences and leave.
  • Prepare paperwork for HR policies and procedures.
  • Process employee requests and provide relevant information promptly.
  • Coordinate training requests with the HR Manager.
  • Provide orientations for new employees and assist in drawing up new employee contracts.
  • Coordinate queries forwarded to the facilities department.
  • Prepare invoices for approval before payment.
  • Coordinate and compile incident reports if needed.
  • Ensure compliance with all company policies and procedures.

  • Excellent interpersonal skills (interaction, speaking, and writing) related to HR matters.
  • Reliable and dependable.
  • Flexible, with the ability to work odd hours when required to meet deadlines.
  • Strong ethics and the ability to manage confidential data responsibly.

Negotiable depending on experience. (This is a junior role.)

Salary: R15,000.00 - R25,000.00 per month

Experience:

  • HR or Finance clerk: 2 years (Required)
