Job description

A well-established engineering organisation is seeking a highly skilled and experienced HR and Finance Assistant to join their team.

Minimum Requirements

  • Minimum 2 years admin experience; HR and Finance experience is a bonus.
  • At least Grade 12 Senior Certificate.
  • Must have a valid Driver's License.
  • Proficiency in PC literacy and MS Office applications.

Duties

The Human Resource & Finance Assistant reports directly to the HR Manager and CFO. The role involves managing daily administrative duties within the HR and Finance Departments, including:

  1. Preparing monthly credit card reconciliations.
  2. Purchasing company groceries and consumables.
  3. Managing and reviewing filing and office systems.
  4. Following up on debtors' accounts.
  5. Providing administrative support to project teams.
  6. Assisting with company social events.
  7. Administering stock control systems.
  8. Assisting with ISO documentation processes.
  9. Managing stationery requirements and procurement.
  10. Liaising with suppliers.
  11. Maintaining and updating HR databases (employee records, leave, work rosters, disciplinaries, etc.).
  12. Assisting with payroll data collection (absences, leave).
  13. Preparing HR policies and procedures paperwork.
  14. Processing employee requests and providing information promptly.
  15. Coordinating training requests with the HR Manager.
  16. Providing orientations for new employees and drafting employment contracts.
  17. Coordinating emergency repairs and maintenance.
  18. Handling queries related to facilities.
  19. Preparing invoices for approval before payment.
  20. Coordinating and compiling incident reports as needed.
  21. Ensuring compliance with all company policies and procedures.
