Job Summary

To provide specialist Human Resources advice and support that meets business requirements, through the execution of predefined objectives as per agreed SOPs.

Job Description
  • Self-Service and Organisation Management: perform checks on the correctness of the org structure on SAP on a monthly basis and communicate results to the responsible HRBP.
  • Proactively drive accuracy for OM within a specified area to deliver organisational and position management structures reflective of business requirements and in line with Global Principles.
  • Act as the MyHR Portal super user to guide, coach and train the OMDs, HRBPs & Line Managers with HR Portal initiatives and respond to portal queries with appropriate support documents.
  • Respond to client queries and refer to portal support documents where appropriate.
  • Assist BU OMDs, HRBPs & Line Managers with OM queries; alert or escalate concerns or clarities on the OM process or systems.
  • Secure approval for bulk OM changes and prepare/complete mass upload templates for major data changes; submit to OM/EDM (e.g., bulk data changes).
  • Champion HR processes in the cluster/business supported; act as a super user to facilitate understanding of processes, tools, portal, roles and responsibilities.
  • Highlight and escalate service delivery issues related to HR processes and systems.
  • Ensure Line Managers action people moves and changes by enabling them to use the MyHR Portal.
  • Maintain org structure on SAP regularly (reporting lines, SODUKO principles).
  • Resourcing: Obtain new employee and EX numbers for all Temp/Contractor employees from Payroll and provide to Hiring manager/requester.
  • Capture risk assessments on MIE for AFS advisor assistants for WIMI; take fingerprints for BARC appointments where required; assist with permanent-to-temporary conversions.
  • Payroll Administration and Reward: issue certificate of service; manage cancellation of special benefits when employees transfer; draw and share long service lists; assist with pension contributions and tax changes; explain payroll cut-off times to line managers and employees; support special leave requests.
  • Manage the exit process in coordination with stakeholders; provide exit documentation; assist in reassignments and onboarding queries (e.g., Bankmed option queries).
  • Monitor employment contracts due to expire; guide stakeholders through renewal, termination and rehire processes; assist with IRP5 requests via Payroll; support staff to retrieve IRP5s on MyHR Portal.
  • Ensure form quality for processing; check payroll forms for accuracy (cost assignment, etc.); manage manual forms during system downtime.
  • Governance & Managing HR Environment: support line managers on maternity leave processes; save documentation in EDM; maintain 100% adherence to policies, procedures, regulatory and SOX requirements.
  • Assist with obtaining employees’ tax reference numbers when requested; perform weekly checks of Employee Data/MI on SAP and report to HRBP/Line Manager.
  • Action data corrections from OMDs, HRBPs and Line Managers; ensure proper linkage of functional indicators to Org Units; complete ad hoc data changes to maintain data integrity.
  • Support the Cluster HR Ops Manager to resolve issues highlighted in exception reports; verify that Org Units have a Chief Position linked; obtain MI reports as required to validate changes.
