Job Description

Red Ember Recruitment is seeking to hire a Group and Individual Reservationist based in Cape Town.

  • Ensure all reservations are entered or responded to promptly, accurately, and confirmed within the company's turnaround policy.
  • Check all reservations/downloaded bookings from the Central Reservation Office, confirm and send correspondence as necessary.
  • Respond to and confirm banquet & events reservation requests promptly and accurately, adhering to the company's policies.
  • Ensure compliance with reservation, events policies, and procedures regarding payments, confirmations, & terms, aligned with a 5-star hotel standard.
  • Assist the Sales & Marketing department in promoting and selling the hotel's facilities to prospective guests.
  • Maintain effective communication between the reservations/banqueting department and all operational departments.
  • Manage room type overbooking proactively to prevent hotel overbooking.
  • Ensure deposits and contracts are received timely and accurately; report deviations to the Reservations Manager.
  • Stay informed about industry trends and suggest improvements to hotel occupancy.
  • Perform general office and administrative duties.
  • Maintain all guest, agent, and company profiles in Opera.
  • Handle guest queries professionally.
  • Perform any other relevant duties as required.

Requirements

  • Minimum 2 years' experience in individual and group/block reservations.
  • Experience with banqueting & events booking.
  • Proficient in Microsoft Office.
  • Experience with INFOR or Opera for individual and group reservations (essential).
  • Experience with INFOR or Opera front office and cashiering functions (advantage).
  • Excellent administrative skills.
  • Experience setting up group contracts and invoices.
  • Good understanding of revenue control and yield management.
  • Fluent in English, both verbal and written.
  • Excellent telephonic and written communication skills.
  • Ability to work under pressure and manage time effectively.
  • High emotional intelligence.
  • Ability to work independently and within a small team.
  • Customer-oriented with professional charm and sophistication (advantage).
  • Presentable appearance.
  • Willingness to work shifts and occasional overtime.
  • Minimum Std. 10 (Grade 12).
  • Relevant tertiary qualifications (front office, NQ Level 2, or similar) are advantageous.

Additional Requirements

  • Proficient in MS Windows and Excel.
  • Hospitality qualification preferred.
  • Relevant experience in a similar establishment within the industry.
  • Basic financial reporting skills.
  • Valid driver’s license.
