Job description

Responsible for the management of a Retail Shopping Centre. Ensure investment growth and maximum income of Centre and Properties through effective management and asset control. Develops related budgets, prepare monthly forecasts, prepares management packs for Clients, manage management meetings, oversees leasing contracts, procures services, handles third party service contracts, capital expenditure and directs maintenance procedures. Ensures that all buildings, grounds, and equipment are well maintained and in optimal working condition. Develops and implements departmental policies and procedures and ensures that all operations are in accordance with established health and safety regulations. Ensures that services purchased are of acceptable quality at the least possible cost. Keeps Senior Management well informed of area activities and significant problems. Trains, directs, and appraises assigned personnel.

Requirements:

  • Matric
  • Additional related maintenance, Centre and Property management training preferred.
  • Diploma/Degree in Business Management/Property Management
  • Related Property Courses
  • Valid FFC
  • Excellent understanding of Centre and Property management procedures.
  • Knowledge of budgeting, service contracts, and leasing agreements.

Duties include:

  • Effective operations management of Centre and Properties and facilities.

Centre and Property Management:

  • Monitor market activities, tenant movements, new developments, vacancies, and landlord strategies.
  • Attend relevant meetings (e.g., SAPOA, CJP).
  • Devise a five-year maintenance plan, including provisions for depreciation.
  • Investigate/refurbishment proposals and maintain project control.
  • Review building standards annually.

Clients Reporting:

  • Provide timely and accurate information to clients, including co-owned properties.
  • Manage monthly management meetings and analyze income/expenses.

Planning and Budgeting:

  • Prepare and complete budgets by January annually.
  • Review rental rates quarterly, formulate business plans, and control budgets.

Financial and Expense Management:

  • Manage Capex, TIs, and approve related standards and expenditures.
  • Oversee debtors, creditors, and credit control processes.

Tenant Management:

  • Handle tenant correspondence, lease renewals, and vacancy management.
  • Negotiate new leases, oversee lease administration, and oversee tenant installations.

Cost and Operations Control:

  • Authorize payments, control maintenance and operational costs, and ensure cost-effectiveness.

Marketing and Public Relations:

  • Maintain public relations, attract visitors, and promote tenants and the centre.

Asset and Maintenance Management:

  • Implement maintenance programs, oversee refurbishments, and ensure compliance with safety standards.

Occupational Health & Safety:

  • Develop security and emergency plans, train staff, and manage security personnel.

Reporting and Record Management:

  • Oversee report preparation, performance assessment, and record keeping.

External Relations and Supervision:

  • Develop relationships with tenants, vendors, and contractors. Supervise staff, conduct performance reviews, and ensure operational efficiency.

Additional Duties:

  • Ensure cleanliness, security, and maintenance of work areas. Complete special projects and report operational metrics.
