Key Performance Areas:
Implement, manage and maintain on-site drawings:
- Receive drawings and compare with issue slips
- Sort drawings and stamp all copies with relevant stamps
- Distribute drawings as per SA/SE and transfer slips to be kept
- Update drawing registers, soft folders and drawing clips
- Superseded drawing to be removed, stamped and boxed
- Obtain shop drawings for distribution and obtain approval within relevant timeframe
Provide administrative support to ensure efficient site operation:
- Obtain project documentation from relevant sources on site for review and capturing
- Maintain all electronic (SharePoint) and hard copy files for the duration of the project
- Quality integrity of completed documentation to be reviewed and compared with actual work onsite
- Collate and compile data packs and hand over at Project completion
Site staff coordination:
- Obtain and communicate relevant pre-employment documentation
- Gather relevant employee information and send through to Payroll Administrator at HQ
- Once employed, completed forms to be obtained and sent through to HQ
- Install clock on site and enrol employees, once employees are captured on BuildSmart
- Pull daily/update/amend hours from the biometric time and attendance (comparison with HSE and QS stats)
- Assist with monitoring the duration of contracts to ensure temporary workers’ contracts are renewed as required
- Daily attendance registers to be implemented and maintained for all wage employees
- Capturing of accurate time sheets as per attendance including overtime if applicable
- Monitor and follow up on terminations and/or extensions which are due
- Provide HR portal support where required
Material and plant management:
- Draft requisitions to be sent to relevant authorities for approval
- Ensure the correct plant delivered to site is in good working order and relevant certificates are provided
- Immediate reporting of any defective plant to be reported to the Plant and Yard for action
- Operator time sheets and inspections to be obtained daily and sent through to Headquarters
- GRN to be compiled with supporting delivery notes and submitted to Headquarters on a weekly basis
- Monthly stock take and stock control to be implemented
- Ensure monthly stock take is done timeously and accurately
