Job Description: Medical Office Administrator
The successful candidate will be responsible for managing various administrative tasks within a medical practice, ensuring smooth daily operations and excellent patient service.
- Answer all calls professionally, courteously, and efficiently.
- Take messages and ensure they are relayed to the relevant personnel.
- Maintain the issue logbook for messages and daily matters.
- Assist with communication via phone, email, or SMS with patients regarding feedback from doctors.
- Manage the diary, including booking patient appointments and communicating billing policies to new patients.
- Prepare files for the following day's appointments.
- Welcome patients warmly, communicate any delays, and manage expectations.
- Update patient details and obtain new information as needed.
- Open new accounts and accurately record information in the system.
- Coordinate with other doctors for notes and referral letters.
- Obtain patient results and related correspondence, such as lab and radiology reports.
- Provide patients with necessary information and forms for procedures or hospitalization.
- Provide quotations for procedures and assist with authorizations.
- Assist with doctors' reports and thank you letters when necessary.
- Monitor pharmacy accounts and stock per doctor.
- Bill patients, collect payments, and issue receipts.
- Ensure theatre billings are completed within 48 hours.
- Liaise with the bureau on patient queries and assist with debt collection.
- Handle month-end processing and daily banking.
- Maintain petty cash.
- Schedule administrative appointments and liaise with service providers and contractors.
- Manage supplier contracts, stock ordering, and support marketing initiatives.
- Assist the doctor with all office admin tasks and maintain the CPD register.
Requirements
- 5-10 years of office administration experience within a medical practice.
- Proficiency in billing software Elixir Live and Goodex.
- Neat, professional appearance, excellent people skills, and confidentiality.
- Reliable, warm, teachable, patient, and helpful attitude.
- Confident, time-management, and prioritization skills.
- Strong computer skills and experience in detailed report writing.
- Fluent in English and Afrikaans.
- Matric with an admin diploma or additional education advantageous.
- Valid driver's license and own vehicle required.
