The position is for a Front-of-House / Receptionist at a renowned property management company located in the Westlake area of Cape Town. Candidates must have a minimum of 2 years of relevant work experience. The role requires strong administrative skills, including planning, organizing, scheduling, and excellent communication with clients and staff. The candidate should be professional, well-presented, and capable of greeting and guiding visitors.

Job Summary:

Our client seeks a reliable and proactive Front-of-House / Receptionist to provide administrative and secretarial support. The ideal candidate is detail-oriented, capable of multitasking in a fast-paced environment, and able to prioritize effectively. The role involves managing day-to-day operations, handling sensitive issues professionally, and taking initiative, especially in the absence of the Director.

The candidate should be mature, friendly, and uplifting. Experience in law, legal documents, contracts, or property management is advantageous but not mandatory, as the company aims to upskill the right candidate.

Main Responsibilities:

  1. Manage and maintain electronic diaries, prioritizing appointments.
  2. Handle sensitive issues professionally and objectively.
  3. Organize meetings, prepare agendas, and meeting materials.
  4. Screen calls and inquiries, responding appropriately.
  5. Assist the Director with research and follow-up actions.
  6. Support the Director, Development Manager, and Communications Manager.
  7. Process correspondence and manage office data and files.
  8. Maintain contact records and assist with research.
  9. Supervise incoming and outgoing client communications.
  10. Greet visitors at all levels.
  11. Perform any other duties reasonably required.

Person Specification:

  • Reside within 25km of Westlake, Cape Town.
  • At least 3 years' experience in front-of-house, reception, or administration.
  • Strong experience with electronic diary management.
  • Excellent communication skills for professional interaction.
  • Strong organizational skills with high attention to detail.
  • Flexible, proactive, and able to prioritize tasks.
  • Ability to work independently and discreetly handle sensitive information.
  • Experience with legal documents and contracts is highly desirable.
  • Proficiency in IT, including Microsoft Office Word, Excel, and PowerPoint.
