Job description

PURPOSE OF JOB

To ensure sound financial control of the organisation by directing and coordinating all the financial activities of the business. Manages the Accounts Department, Human Resources Department, and Warehousing / Shipping Department.

KEY RESPONSIBILITIES include the following. Other duties may be assigned.

Financial Process Management

  • Generate management accounts for ALL Departments and consolidate, email to relevant parties. Ensure management accounts are produced monthly, by day + 5.
  • Evaluate financial reporting systems, accounting, and collection procedures; recommend changes to procedures, operating systems, budgets, and other financial control functions.
  • Assist the Managing Director in compiling the company's overall budget annually, aligned with business and sales strategies.
  • Interface with external auditors at year-end; ensure audit completion and resolution of outstanding issues.
  • Act as signatory on bank accounts.
  • Authorize and release payments on Standard Bank.
  • Manage the national debtors book overall.
  • Review collection reports to assess collection status and outstanding balances.
  • Authorize debtor adjustments requested by branches.
  • Liaise with financial institutions regarding investments, exchange rates, and forward cover; approve foreign currency transactions with MD.
  • Coordinate with clearing agents for competitive rates.
  • Monitor warehouse, Label Division, and Branch stock take procedures.
  • Manage payroll, ensuring compliance with legal and company regulations.
  • Oversee the performance of the Pension Fund, Company Insurance, and Medical Aid Scheme.
  • Manage monthly Sales Metrics Reports using Microsoft Power BI.
  • Oversee Inventory Days Reports for all warehouses and distribute to relevant parties.
  • Generate and distribute Financial Dashboards monthly by the 6th day.
  • Serve as Company Secretary and Public Officer.

Reporting and Compliance

  • Ensure preparation of financial and regulatory reports; compile statutory and annual statements in compliance with the Companies Act and IFRS for SMEs (advantageous skill).
  • Ensure compliance with Income Tax, VAT Acts, COIDA, and Employment Equity Act; assume duties of EE manager.
  • Report monthly on financial status, including variances to the budget.
  • Ensure annual audits of each branch by the Financial Department.

General Management

  • Liaise with external legal service providers as needed.
  • Manage BBBEE initiatives, including developing plans and scorecards with an external consultant.
  • Administer incentive schemes for sales staff, technicians, and branch administrators.

People Management

  • Ensure staff training, skill development, and optimal application of expertise.
  • Create a work environment that boosts morale and productivity.

SUPERVISORY RESPONSIBILITIES

  • Overall responsibility for the Accounts, Human Resources, and Warehousing / Shipping Departments.
  • Manage a staff of approximately 25 employees.
  • Implement and monitor performance measures to ensure goals are met.

QUALIFICATIONS, EXPERIENCE, and KNOWLEDGE

  • Must be able to perform all essential duties satisfactorily; B Com degree, preferably CA.
  • Minimum 5 years’ experience in management accounting and general accounting.
  • Minimum 5 years’ experience as a Financial Manager.
