Job Description
The Financial Accountant is responsible for executing and maintaining all financial, accounting, and tax compliance activities at Mdzananda Animal Clinic. Reporting to the General Manager and the Board Treasurer, the role includes financial recordkeeping, reconciliations, donor and grant tracking, VAT compliance, payroll tax administration, and preparing accurate reports to support management decisions and audits. This position plays a crucial role in maintaining the financial health of the organisation while aligning with regulatory and donor requirements.
Roles and Responsibilities
Financial Accounting & Recordkeeping
- Maintain up-to-date and accurate general ledger records across all transaction sources.
- Capture and reconcile all income streams, including donations, grants, and retail sales.
- Post and allocate supplier invoices, payments, and petty cash transactions.
- Perform monthly reconciliations of bank, petty cash, creditors, and debtor accounts.
- Maintain and update fixed asset registers and depreciation schedules.
- Manage payroll journal entries and ensure alignment with monthly payroll reports.
- Ensure appropriate classification and coding of income and expenditures.
- File and archive all accounting documents and financial records securely and systematically.
Financial Reporting & Analysis
- Prepare monthly and quarterly financial reports for internal and Board use.
- Assist in compiling and presenting management accounts, variance analyses, and financial dashboards.
- Support the General Manager in providing financial inputs for operational decision-making.
- Prepare audit-ready documentation and schedules for annual financial audits.
- Assist in drafting annual financial statements in collaboration with external auditors.
Donor & Grant Compliance
- Record and reconcile restricted and unrestricted funding accurately.
- Assist the Fundraising team in donor reporting through financial data collection and presentation.
- Ensure funder-specific budgets and financial tracking are maintained for all projects.
- Maintain Section 18A documentation and support donor receipt processes in compliance with SARS regulations.
Taxation & Regulatory Compliance
- Prepare and submit monthly/bi-monthly VAT returns with required supporting documents.
- File annual income tax returns in compliance with nonprofit tax exemptions and obligations.
- Reconcile and submit payroll taxes (PAYE/UIF) and assist with bi-annual EMP501 submissions.
- Keep up to date with legislative changes relevant to tax, accounting, and nonprofit compliance.
Procurement & Payments Support
- Track all procurement requests and ensure financial accuracy of supplier documentation.
- Work closely with the General Manager to align procurement activity with budget availability.
- Ensure supplier payments are correctly captured, authorised, and processed in accordance with financial procedures.
Qualifications And Requirements
Qualifications & Experience
- Minimum of 3–5 years relevant experience in a financial accounting or bookkeeping role
- Strong understanding of accounting principles (preferably IFRS for SMEs)
- Experience with financial reporting, reconciliations, and audit preparation
- Proficient in accounting software such as Sage Accounting
- Knowledge of VAT, PAYE/UIF, and other relevant tax compliance requirements
- High proficiency in Microsoft Excel (including financial formulas and reconciliation templates)
- Experience in a nonprofit, NGO, Veterinary, or healthcare environment
- Exposure to donor-funded project accounting and reporting
- Familiarity with South African nonprofit tax laws, including Section 18A compliance
