Job description

St Charles College, founded in 1875, is an independent Christian boys college situated in Pietermaritzburg, South Africa, catering for day boys from Grade 000 to Matric with boarders from Grade 4 upwards. The College has written the University of Cambridge International IGCSE, AS Level and A Level Examinations since 2002.

Finance Officer – Debtors

St Charles College is looking to employ a suitably qualified and experienced Finance Officer to join our Finance Department. The successful candidate will support the Finance Manager in overseeing all debtor-related processes and managing the Income Cycle team.

Key responsibilities include, but are not limited to:

  • Oversee the College’s debt collection process and provide support to the Finance Manager.
  • Manage the Income Cycle administrative team and ensure smooth functioning of the department.
  • Ensure Terms of Enrolment forms are accurately completed for each scholar.
  • Process and monitor monthly debit orders and accounting entries.
  • Authorise all ancillary expenses charged to parent accounts.
  • Ensure that monthly statements are prepared and distributed accurately and timeously.
  • Maintain and reconcile spreadsheets related to Acceptance and Enrolment Fees.
  • Ensure effective management and reconciliation of all debtor accounts.
  • Approve and monitor short-and long-term payment arrangements.
  • Meet with parents regarding outstanding accounts and communicate fee-related policies.
  • Liaise with attorneys on bad debt accounts and legal action where applicable.
  • Excellent communication, negotiation, and problem-solving skills.
  • High attention to detail with strong administrative capability.
  • Able to work independently and manage a team.
  • Professional, empathetic and confident when dealing with debtors.
  • Organised with the ability to manage time effectively under pressure.

The ideal candidate will have:

  • Grade 12/Matric and a relevant tertiary qualification.
  • 5 – 10 years of experience in a similar role.
  • Proficient in Pastel and Microsoft Office (especially Excel and Word).
  • Corporate secretarial and governance knowledge and relevant experience would be an added advantage.
  • Adaptable to change and incorporation of technological improvements and efficiencies.
