Job description

A family-run wine estate near Stellenbosch is seeking a Finance Admin Assistant highly organized, detail-oriented, and personable professional to assist with its finance and administrative operations.

As a Finance Admin Assistant,, you’ll manage comprehensive financial and administrative tasks - including accounts, payroll, reconciliations, compliance, wine production coordination, client communications, and operational support - to ensure smooth and accurate operations for the wine estate.

Key Responsibilities:

  • Handle accounts payable and receivable, including invoice and bill capturing on Xero
  • Manage petty cash and oversee credit card transaction processes
  • Assist with payroll duties such as processing wages, overtime, and payslips, and coordinating with the payroll provider
  • Reconcile petty cash, stock, electricity, and wine inventory regularly
  • Generate and send monthly client statements; follow up on outstanding payments
  • Submit required documentation for insurance, licensing, and regulatory compliance
  • Process invoices related to wine sales and property rentals
  • Support operational coordination of wine production activities
  • Oversee wine stock logistics including receiving, dispatching, and coordinating with delivery drivers
  • Reconcile monthly customer sales and manage business-to-business documentation and platform submissions
  • Complete SAWIS reporting (e.g., forms 5 and 7)
  • Assist with day-to-day tenant management
  • Ensure compliance through accurate wine stock reporting and record-keeping
  • Provide administrative support across estate operations
  • Manage communication with all stakeholders including tenants, clients, insurers, and suppliers
  • Oversee fleet-related tasks such as vehicle license renewals
  • Maintain organized audit documentation (SAWIS, Weita, Department of Labour)
  • Offer ad hoc assistance to the estate principal and help with ongoing estate projects

Qualifications and Experience:

  • Holds a tertiary qualification in Accounting, Finance, or Business Administration
  • Brings a minimum of 3 years’ experience in a finance or administrative role
  • Skilled in using Xero, Excel, and cloud-based platforms like Google Workspace
  • Fluent in both English and Afrikaans
  • Possesses a valid driver’s license and has own reliable transport
  • Capable of working independently from an office located just outside Stellenbosch

Salary:

  • R25 000 - R35 000 / month
