Job description

Our client is seeking an Executive Personal Assistant who will be responsible for providing high-level administrative support to the CEO and other Executive Committee members. The Executive Assistant also serves as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects.

Responsibilities :

  1. Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the global operations of the company.
  2. Sustain a daily calendar of meetings and events.
  3. Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of organizational objectives.
  4. Arrange travel and accommodation for executives.
  5. Prepare expense reports.
  6. Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information; refer non-routine calls to the appropriate staff.
  7. Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executive is involved with.
  8. Manage the Executive's contacts.
  9. Assist in preparing and managing presentations and decks.
  10. Be responsive to emails, texts, and phone calls, including outside normal business hours.
  11. Welcome the Executive’s guests, greeting them in person or on the phone, and answer or direct inquiries.
  12. Use discretion, confidentiality, and good judgment to manage C-Level matters.
  13. Represent the company and the Executive positively through great follow-through skills and sound judgment.
  14. Conserve the Executive's time by reading, researching, collecting, and analyzing information as needed, in advance.
  15. Complete ad hoc projects such as personal events and family needs.
  16. Organize complex calendars and schedules, resolving scheduling issues.

Qualifications :

  • Degree in Public Relations or similar field.
  • 5-8 years of relevant experience.

  • Expert proficiency in MS Excel, Word, and PowerPoint.
