POSITION INFO :

We are seeking a highly professional and proactive Executive Personal Assistant to provide comprehensive administrative and executive support to the Chief Executive of our International Division. This role is pivotal in ensuring the smooth running of executive operations across multiple regions and time zones. The ideal candidate will have proven experience supporting Exco members, with exceptional organisational, communication, and decision-making skills. A high level of discretion, responsiveness, and global awareness is required.

What youâ€ll do :

  • Calendar Management :

Proactively manage and coordinate multiple calendars, including scheduling meetings, appointments, and travel arrangements.

  • Email Management :

Monitor, prioritise, and respond to emails on behalf of the executive, ensuring urgent matters are flagged and followed up in a timely manner.

Liaise with Executive Committee (Exco) members on behalf of the executive for updates, reports, urgent inputs, and follow-ups on critical matters.

  • Meeting Coordination :

Organise, prepare agendas for, and take minutes of meetings, ensuring all required materials are prepared in advance.

  • Travel and Logistics :

Plan and coordinate domestic and international travel, including, accommodations, and necessary documentation.

Draft, review, and manage confidential documents, presentations, and reports.

  • Task and Priority Management :

Track outstanding tasks, deadlines, and key deliverables; follow up with stakeholders to ensure completion and alignment with priorities.

  • Professional Representation :

Act as the primary point of contact between the executive and internal / external stakeholders, maintaining professionalism and confidentiality at all times.

  • 5+ years' experience as an Executive PA supporting senior executives.
  • Exceptional communication and interpersonal skills.
  • Strong attention to detail and excellent organisational abilities.
  • Advanced knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Experience in reporting coordination and following up on executive-level deliverables.
  • Ability to manage multiple priorities, and handle confidential matters with integrity.

  • Proactive and resourceful with excellent problem-solving skills.
  • Ability to anticipate needs and act with minimal supervision.
  • Strong business acumen and understanding of executive-level dynamics.
  • Committed, dependable, and professional in approach and demeanor.
