Executive Personal Assistant
Location: Kempton Park, Gauteng
Salary: R to R p/m
Position Overview: We are seeking a highly organized, proactive, and detail-oriented Executive Personal Assistant to support the Director and executive teams.
This role is essential in ensuring the smooth operation of the Director's daily activities, streamlining communication across teams, and managing key operational and administrative functions.
Key Responsibilities:
- Efficient diary and calendar management (Outlook experience essential)
- Scheduling and coordinating meetings and appointments
- Managing all business travel arrangements: flights, hotels, car hire, valet parking, etc.
- Organizing visas and visa invitation letters for international guests
- Maintaining the Managing Director's (MD's) travel log and planner
- Reconciling monthly expense reports
- Fielding calls and messages on behalf of the MD
- Coordinating business lunches, including catering and refreshments
- Managing boardroom bookings and setup
- Overseeing cleaning services and associated contracts (office, windows)
- Managing gardening and landscaping contracts
- Conducting research for special projects as assigned by the MD
- Organizing corporate events, staff functions, and assisting with exhibitions (attendance may be required)
- Taking and transcribing minutes from management meetings
- Managing personal and professional purchases for the MD
- Processing expense claims and reimbursements
- Booking and organizing medical and dental appointments
- Performing various ad hoc administrative tasks as needed
Minimum Requirements:
- Proven experience as a Personal or Executive Assistant in a fast-paced, high-level environment
- Strong work ethic and ability to work under pressure
- Self-motivated, with the ability to work independently and take initiative
- Excellent verbal and written communication skills
- Effective problem-solving abilities and a proactive approach
- Willingness to work flexible or extended hours when needed
- High level of confidentiality and discretion
- Professional demeanor and strong interpersonal skills
- Meticulous attention to detail and accuracy in work
- Strong time management, organizational and prioritization skills
- Curious, adaptable, and solution-oriented mindset
- Ability to multitask and manage multiple priorities seamlessly
