Excellent opportunity for an Executive Personal Assistant to provide a variety of administrative tasks and support to the Managing Director and office.

Position Info

Qualifications: Recognized formal qualification in a relevant field (SAQA NQF5 or higher). A degree is an advantage.

Skills: Advanced computer skills with MS Office suite (Word, Excel, Access, PowerPoint, Teams). Additional ICT skills such as AV setups, online conferencing (Skype, Zoom, Teams), troubleshooting are essential. Fluency in English (spoken and written) is required. Competency in a second national language and/or German is advantageous.

Experience: Minimum 5 years as an Executive Management Assistant, with a proven track record in strategic project and event management. Experience in mid-size industrial, mining, construction, or engineering companies is advantageous. Experience managing small teams, vendor and SCM management, ERP/SAP systems, and technical coordination is required. Willingness to travel locally, regionally, or internationally is necessary. Must always retain a valid driver’s license and passport.

Responsibilities
  • Perform executive and secretarial legal duties for Directors.
  • Act as a liaison between executives, employees, clients, and partners, including shareholder relations.
  • Manage and coordinate Directors’ calendars, meetings, and events.
  • Coordinate board and business review meetings, manage minutes, and prepare board packs.
  • Draft and communicate memos, emails, and presentations for stakeholders.
  • Oversee internal projects, including budgeting, planning, and monitoring.
  • Handle travel arrangements, expense reconciliation, and cost control.
  • Manage company inventory, stationary, and supplies.
  • Screen and direct calls and correspondences.
  • Organize company events, team building, and strategic planning sessions.
  • Maintain company records, insurance, and document archiving.
  • Manage vendor relations and procurement via SAP system.
  • Perform other strategic projects as assigned by MD and FD.

The role involves significant coordination, communication, and organizational responsibilities to support executive leadership effectively.
