Job description

Purpose of the Job: The individual will be responsible for providing Executive and Administrative support to the Managing Director.

Main Functions:

  1. Screening of calls and determining how callers can best be assisted.
  2. Diary management, coordinating internal and external meetings.
  3. Dealing with and following up on enquiries in the absence of Executives, with the ability to action time-sensitive tasks.
  4. Client liaison and follow-ups.
  5. Organising all travel arrangements both local and international if and when necessary.
  6. Organising, planning, and coordinating national conferences and group meetings.
  7. Accurate typing, editing, creating, and finalising of documents within Planet Fitness Format, with the ability to demonstrate intermediate and/or advanced ability on Excel.
  8. Assisting with formatting, editing, and typing of documents including proposals and reports in Word/Excel and PowerPoint.
  9. General organising and administrative support as required.
  10. Recording minutes of meetings and actioning accordingly.
  11. Representing and acting in a professional manner for the office of the Managing Director at all times.

Requirements:

Qualifications and Experience

  1. Matriculation certificate (Grade 12).
  2. Highly skilled and proficient in MS Office (Word, Excel, PowerPoint, and Outlook).
  3. Minimum of 8 years in a Secretarial/Personal Assistant role or with relevant hands-on experience.
  4. 5+ years' experience as an Executive PA within a high-level environment.
  5. Ability to work on various projects, multi-task, and meet the required deadlines.
  6. Ability to prioritise work according to urgency and importance.

Critical Technical Skills or Competencies

  1. Administration must be on point and accurate.
  2. Ability to demonstrate a high level of confidentiality.
  3. Must be proficient in Outlook, Excel, PowerPoint, and Word, and must be comfortable typing documents and reports.
  4. Previous experience with the preparation of proposals and formatting of documents would be advantageous.
  5. Able to track sudden changes to ensure all tasks are met.
  6. Must be able to work independently and take ownership of all required responsibilities.
  7. Strong ability to prioritise.
  8. Previously dealt with Directors and managed their Office/Personal diaries.
  9. Excellent telephone manners.
  10. Ability to deal effectively with individuals at all levels, including Members, Senior Management, and Directors.
  11. High level of confidentiality.
  12. Excellent organisation and administration skills.

  1. Professional and diplomatic.
  2. Able to work under pressure and meet deadlines.
  3. Must be able to multitask and cope with requests from a team perspective.
  4. Self-motivated.
  5. Methodical with attention to detail.
  6. Strong communication (verbal and written).
