Job description

Our client is seeking an Executive Assistant to support 1 to 2 Directors by executing, organizing, and coordinating administrative functions, streamlining operations, and managing various projects to achieve business objectives and strategy.

The Executive Assistant acts as the primary contact for internal and external stakeholders and serves as a liaison to the Board of Directors and senior management. Key responsibilities include:

  1. Providing direct support to the Directors, managing diaries, and ensuring efficient scheduling.
  2. Acting as a gatekeeper and creating access to the Executives' time and office.
  3. Keeping Directors informed of upcoming commitments and relevant issues.
  4. Drafting correspondence and facilitating effective leadership.
  5. Handling conflicting priorities proactively and ensuring project completion under deadlines.
  6. Creating a professional environment for visitors and internal/external communication.
  7. Managing the executive suite, including catering, events, equipment, and supplies.
  8. Coordinating travel arrangements, visas, accommodations, and related logistics cost-effectively.
  9. Organizing and maintaining office filing systems and supporting Board and committee meetings.
  10. Managing internal and external communication, including memos, emails, and reports.
  11. Supporting operations, facilities management, and internal systems.
  12. Arranging meetings, conferences, and events for the Executive Team.
  13. Assisting with client and customer relationship management.

Requirements: Tertiary qualification, 5+ years' experience with Board and Executive level, excellent communication skills, and the ability to manage multiple projects. Previous experience with multinationals is advantageous.

This role may require working outside standard hours.
