Job description

A premier boutique financial advisory firm committed to awareness and empowerment is seeking a highly organized and proactive Executive Assistant.

Primary Responsibilities
  1. Email and Communication Management
    • Manage the executive's email inbox, prioritizing messages that require immediate attention.
    • Draft responses to routine inquiries and correspondence.
    • Forward relevant emails to appropriate team members based on their responsibilities.
    • Flag important communications requiring the executive's personal attention.
    • Follow up on outstanding emails and ensure timely responses.
    • Maintain an organized digital filing system.
    • Manage WhatsApp communications, notifying the executive of important messages.
  2. Administrative Support
    • Schedule and coordinate meetings, appointments, and conference calls.
    • Prepare agendas and supporting materials.
    • Take and distribute meeting notes and action items.
    • Manage the calendar and resolve scheduling conflicts.
    • Handle travel arrangements and process expense reports.
    • Upload documents for client signatures and information sharing.
  3. Business Development Support
    • Create space for the executive to focus on client relationships and business growth.
    • Assist in preparing client proposals and financial strategy presentations.
    • Help organize materials for client meetings.
    • Support research for articles and thought leadership content.
    • Track client engagement and maintain the CRM system.
    • Support community engagement and financial literacy initiatives.
  4. Team Coordination
    • Coordinate with team members and leads on projects.
    • Establish workflows to minimize operational involvement.
    • Track delegated tasks and provide updates.
    • Manage compliance documents and team files.
Qualifications

Required: 3+ years as an Executive Assistant or similar role, exceptional email and organizational skills, strong communication, proficiency with productivity tools, attention to detail, discretion.

Preferred: Financial services experience, CRM knowledge, project management familiarity, supporting business development, understanding of compliance, confidentiality appreciation.

Location & Work Arrangement

Johannesburg, Rosebank, South Africa. Hybrid model: 2 days onsite, 3 days remote. Full-time, Monday to Friday. First 3 months onsite full-time for training. Competitive salary: R 10,000 to R 12,000 per month, with benefits.
