Executive Assistant - Engineering Manufacturing (half day)
Job description
Minimum Requirements:
- At least 3 years of general office administration experience or 2 years of experience as an Executive Assistant.
- A qualification in Secretarial Studies, Personal Assistance (PA), or Business Administration will be an advantage.
Key Responsibilities:
- Provide general administrative support and typing services for top management.
- Arrange travel, including flight and hotel bookings.
- Manage telephone calls, schedule appointments, and welcome visitors.
- Monitor and manage emails on behalf of the Managing Director.
- Compile board reports and coordinate boardroom bookings.
- Order and manage refreshments for meetings and company events.
- Oversee signage for company vehicles and manage the pool car fleet.
- Supervise and oversee cleaning staff to ensure office cleanliness and maintenance.
- Maintain and project a positive company image in all interactions.
Skills and Competencies:
- Advanced computer proficiency in MS Office (Word, Outlook, Excel, and PowerPoint).
- Strong written and verbal communication skills in English, with excellent listening and vocabulary abilities.
- High level of accuracy and attention to detail.
- Well-developed arithmetic skills, with the ability to compile reports.
- Customer-oriented mindset with excellent organizational skills.
- Strong interpersonal skills and the ability to work collaboratively with all levels of management.
- Ability to use discretion and sound judgment in handling confidential matters.
- People management skills, with the ability to supervise and oversee staff effectively.
