DESCRIPTION

We are seeking a talented Executive Assistant (EA) with proven experience working with multiple stakeholders and the ability to provide support to senior executives through complex calendar management, project management, meetings preparation, travel planning, and document management. The ideal candidate will help build a positive team environment and establish working relationships inside and outside of the group.

The Executive Assistant role will also involve building a strong internal network by acting with professionalism and approachability, serving as an indirect leader for the General Manager Assistants (GMAs) team. This includes onboarding new GMAs and supporting their career development, acting as a point of contact to share best practices, and creating synergies across teams.

Key job responsibilities
  1. Provide comprehensive calendar management and strategic scheduling support for multiple senior leaders.
  2. Coordinate domestic and international travel arrangements, including detailed itineraries and logistics.
  3. Plan and execute team events, such as all-hands meetings, off-sites, and team-building activities.
  4. Track and facilitate completion of key deliverables and action items.
  5. Process expense reports and manage administrative documentation.
  6. Partner with internal teams for space planning, facilities, and cross-functional coordination.
  7. Organize and maintain team communication channels, including newsletters and updates.
A day in the life

Your day begins with reviewing calendar changes and prioritizing urgent requests. Throughout the day, you coordinate with global stakeholders to schedule meetings across time zones, arrange travel logistics, and ensure smooth operations for leadership. You may also work on planning upcoming team events or recognition activities.

BASIC QUALIFICATIONS
  • Experience with C-level executive complex calendar management, expense reporting, and business cycle planning.
  • Experience coordinating domestic and international travel for senior executives.
  • Experience managing vendors and contractors.
  • Management of budgets for corporate events and meetings.
  • Ability to create drafts and send written communications on behalf of leaders.
  • Proficiency with Microsoft Outlook, Word, Excel, and PowerPoint.
PREFERRED QUALIFICATIONS
  • Experience working with international businesses, distributed teams, and across multiple time zones.
  • Experience in a high-growth environment within global companies.
  • Ability to drive efficiency and hold vendors and teams accountable.
  • Strong prioritization skills and ability to handle multiple tasks simultaneously.
