Position Overview
We are seeking a proactive, highly organized, and detail-oriented Executive Assistant to support
our CEO in a fast-paced, high-growth environment. The ideal candidate will act as a strategic
gatekeeper, manage scheduling, coordinate projects, and ensure seamless day-to-day operations.
This role requires discretion, initiative, and the ability to handle sensitive information with
professionalism.
Key Responsibilities
• Executive Support
◦ Manage CEO’s calendar, appointments, and travel logistics (domestic &
international).
◦ Prioritize and respond to emails, meeting requests, and phone calls on behalf of
the CEO.
◦ Prepare materials for meetings, presentations, and executive briefings.
◦ Draft internal and external correspondence, agendas, and meeting notes.
• Project & Operations Coordination
◦ Track key deliverables and follow up with internal and external stakeholders.
◦ Assist with special projects including investor updates, board reporting,
compliance documentation, and strategic planning.
◦ Liaise with department heads (Compliance, Sales, Operations, Legal, Technology)
to streamline cross-functional initiatives.
• Communication & Liaison
◦ Serve as the first point of contact between the CEO and partners, clients,
investors, and regulators.
◦ Maintain confidentiality while managing sensitive company and personal matters.
• Administrative Excellence
◦ Oversee CRM updates, task tracking, document filing, and data management.
◦ Support hiring processes by scheduling interviews and managing executive
recruitment pipelines.
◦ Handle occasional personal tasks and lifestyle management for the CEO as
needed.
Qualifications
• 3–7 years of experience supporting C-suite executives, ideally in fintech, consulting, or
financial services.
• Bachelor's degree or equivalent experience.
• Exceptional organizational skills, attention to detail, and time management.
• Strong written and verbal communication skills.
• High degree of professionalism, discretion, and integrity.
• Comfortable in a remote, fast-moving, and international work environment.
• Proficiency with Google Workspace, Microsoft Office, Zoom, Slack, and project/task
management tools (e.g., Notion, Asana, Trello).
Preferred Qualifications
• Experience supporting a founder or CEO in a startup or growth-stage company.
• Background in finance, fintech, or regulatory industries is a strong plus.
• Familiarity with investor relations, compliance processes, or legal documentation.
