Job Summary
We are seeking a highly organized and proactive Executive Assistant to support the Executives in Business Banking Products. The ideal candidate will be responsible for ensuring the smooth running of the executive's office by managing various administrative tasks. This role requires excellent communication skills, attention to detail, and the ability to handle multiple tasks efficiently.
Job Description
- Calendar Management: Efficiently manage the executive's calendar, schedule appointments, and coordinate meetings.
- Travel Booking: Arrange travel itineraries, book flights, accommodations, and transportation for business trips.
- Expense Reconciliation: Track and reconcile expenses, prepare expense reports, and ensure timely reimbursement.
- Stakeholder Liaison: Act as a point of contact between the executive and internal/external stakeholders to ensure effective communication and smooth functioning of the office.
- Office Management: Maintain office supplies, handle correspondence, and perform other administrative tasks as needed.
- Task & Deadline Tracking for Exco, SteerCo, OpCo and Business Reviews - Ensures deadlines for reports and submissions are met with reminders sent.
- Strategic Planning & Executive Support - Schedules team sessions, performance reviews, and key business events in advance.
Qualifications
- Proven experience as an Executive Assistant or in a similar administrative role.
- Excellent organizational and time-management skills.
- Strong communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Detail-oriented and able to multitask effectively.
Education
Further Education and Training Certificate (FETC): Business, Commerce and Management Studies (Required)
