Job Description:
Reporting to the Commercial Director, the primary purpose of this role is to maximize the effectiveness and efficiency of the Commercial team by handling essential administrative, operational, and event-related tasks. This allows the department to focus on strategic initiatives, business development, and driving revenue growth.
Management & Department Administrative Support (Commercial Division):
- Provide full administrative support to the Commercial Director and relevant departments, including diary management, PR, travel arrangements, liaison, presentations, and minutes of meetings.
- Manage credit card expenses process.
- Handle travel arrangements for the commercial division.
- Liaise directly with external stakeholders.
Commercial Administration:
- Prepare customized reports daily, weekly, and monthly.
- Manage internal projects.
- Oversee purchase order capturing and ensure timely payments.
- Handle commission administration.
- Manage daily communication related to key customer pricing.
Demand Planning:
- Maximize selling opportunities within the sales team.
- Coordinate MRP planning.
- Gather sales planning information from the team.
- Review data and take appropriate actions.
- Conduct weekly reviews of planned versus actual sales and draft orders.
Data Analysis:
- Conduct internal sales analysis, reviewing figures monthly, quarterly, and bi-annually.
- Analyze sales baskets based on set parameters.
- Manage deadlines effectively.
- Review external sales data from third-party sources.
Customer Relationship & Event Management:
- Develop strategies to retain customers.
- Liaise with key customers.
- Build and implement CRM strategies.
- Manage all event-related activities.
Health and Safety:
- Participate in safety forums and meetings.
- Follow up on safety activities.
- Report safety incidents.
- Attend safety education sessions.
- Adhere to safety policies and procedures.
Employee Management & Development:
- Ensure compliance with procedures and policies.
- Define job profiles for team members.
- Conduct regular goal reviews.
- Provide support, coaching, and mentoring.
- Develop individual development plans.
Qualifications:
- Tertiary qualification in a related field.
- Relevant experience in administrative or coordination roles.
- Proficiency in MS Office, especially Excel (intermediate to advanced).
- Valid driver’s license.
- Customer service orientation.
- Detail-oriented and analytical.
- Organized and structured.
- Strong financial skills.
- Goal-driven with excellent time management.
- Responsible and accountable.
- Effective communication skills.
