Job description

We are seeking an experienced, proactive Executive Assistant to provide high-level support to the Head of Operations at our Client's office in Kempton Park (Gauteng).

The ideal candidate will have proven experience in office administration and possess exceptional organisational and communication skills.
As an Executive Assistant, you will be responsible for managing schedules, coordinating meetings, handling correspondence, and providing overall secretarial support to the Executive Team.

JOB PURPOSE:
The Executive Assistant to the Director, Head of Operations and New Business Development Manager is responsible for providing comprehensive support to the Executive Team and managing all administrative functions as required.

REQUIREMENTS & QUALIFICATIONS:

Education & Experience Requirements:

  • Qualification in Secretarial Studies - advantageous
  • At least two years' experience as an Executive Assistant, office assistant or similar role
  • Very good computer literacy in Microsoft Office (Word, Excel, PowerPoint, Outlook, Internet Browser)


Skills Required:

  • Written communication: Ability to draft clear concise and professional documents, emails and reports.
  • Verbal communication: Skill in interacting with employees, managers and external stakeholders in a professional manner.
  • Time management: Ability to prioritise tasks and meet deadlines.
  • Confidentiality: Understanding and maintaining confidentiality in dealing with sensitive employee data
  • Consistent demonstration of integrity and honesty
  • Ability to handle stress and pressurised situations
  • Strong team player


SPECIFIC RESPONSIBILITIES:

  • Arranging and co-ordinating Executives' calendars
  • Provide excellent secretarial support to the Executive Team
  • Serve as a liaison between the Executive Team and all other relevant stakeholders
  • Managing projects and initiatives as assigned by the Executives
  • Database management
  • Quality assurance
  • Performing administrative tasks and assisting with personal tasks as needed by the Executive Team
