Job description

SUMMARY :

We are seeking an Executive Assistant with a strong background in financial tasks to support the executive team.

Definitions :

ISO : International Organisation for Standardization

SOP : Standard Operating Procedures (for example, could be WI for work instructions etc.)

SABS : South African Board Of Standards

POSITION INFO : Responsibility

  • Provide comprehensive administrative support to executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents for executives such as drafting and editing emails, letters, memos, and other communications.
  • Support executives in project management activities, including tracking deadlines, monitoring project progress, and preparing project status reports.
  • Coordinate meetings and follow-ups related to projects and financial matters
  • Assisting with organising events, conferences, meetings, and other special events as required for executives
  • Anticipating and resolving administrative issues and challenges proactively
  • Professional demeanor with the ability to interact comfortably with executives and stakeholders at all levels.
  • Willingness to adapt to changing priorities and take on new responsibilities as needed

Finance Assistance :

  • Manage and maintain financial data, records, and documentation.
  • Conduct research and compile data for financial reports and presentations.
  • Assist with financial tasks such as invoicing, expense tracking, and budget monitoring.
  • Prepare financial reports, including profit and loss statements, balance sheets, and cash flow forecasts.
  • Coordinate with accounting department to ensure accurate and timely processing of payments, reimbursements, and financial transactions
  • Handle confidential information with discretion and maintain confidentiality at all times.
  • Ensure compliance with financial regulations and company policies
  • Competency :

    Education / Qualification :

  • Matric Certificate
  • Business related qualifications AND / OR appropriate experience.
  • Previous experience in administration roles.
  • Skills :

  • Proven experience as an Executive Assistant, Administrative Assistant, or similar role with a focus on financial tasks.
  • Strong proficiency in financial management and reporting.
  • Advanced knowledge of MS Office suite (Word, Excel, PowerPoint) and financial software (e.g., QuickBooks, SAP).
  • Excellent organisational and time management skills with the ability to prioritise tasks.
  • Exceptional verbal and written communication skills.
  • High level of attention to detail and accuracy in financial data management
  • Ability to work in a fast-paced environment and adapt to changing priorities
  • Training :

  • The employee can be expected to attend training seminars, webinars, courses or programs relating to the development and growth related to their roles.
