Senior Executive Assistant

Full-Time, Remote (Working Hours: EST)

This role is with a high-growth, globally-minded investment firm providing asset management and financial advisory services to a high-net-worth and institutional client base. With a strong focus on operational excellence and client service, they’re looking for a Senior Executive Assistant to support their leadership team with a mix of executive, operational, and light financial tasks.

Key Responsibilities
  1. Executive Support: Manage calendars, coordinate meetings across time zones, prepare agendas, and follow up on action items.
  2. Inbox & Communication Management: Monitor and respond to emails on behalf of executives, ensuring timely and professional communication.
  3. Financial Administration: Handle invoicing, track expenses, process reimbursements, and support other light financial reporting tasks.
  4. Travel & Logistics: Organize domestic and international travel arrangements, including itineraries, accommodations, and meetings.
  5. Document Preparation: Draft, format, and proofread reports, presentations, and correspondence with attention to detail.
  6. Operational Support: Assist in organizing internal systems, maintaining databases, and ensuring smooth day-to-day operations.
  7. Project Coordination: Help manage timelines and deliverables for internal initiatives, ensuring accountability and progress.

Requirements
  1. 5+ years of experience as an Executive Assistant or in a similar senior-level administrative role.
  2. Proven experience managing financial tasks such as invoicing, tracking expenses, and handling reimbursements.
  3. Native English speaker with excellent written and verbal communication skills.
  4. Comfortable working Eastern Standard Time (EST) hours.
  5. Highly organized, proactive, and detail-oriented with strong problem-solving skills.
  6. Proficiency in tools such as Google Workspace, Microsoft Office, Zoom, and project management tools.
  7. Experience in a fast-paced, high-stakes environment, ideally in finance, consulting, or asset management.
  8. Discretion and professionalism when handling confidential information.
