PURPOSE OF THE POSITION

The Executive Assistant ensures that the Chief Executive (CE) and Chief Financial Officer’s (CFO) day-to-day operations run smoothly and effectively. The incumbent will be responsible for diary management, meeting preparation, travel administration (both international and local). The incumbent must demonstrate excellent communication skills, attention to detail, organisational skills, discretion, and the ability to manage multiple tasks efficiently.

SUMMARY OF KEY RESPONSIBILITIES (INCLUDING BUT NOT LIMITED TO):

  • Support the CE and CFO by providing professional and confidential administrative and secretarial services.
  • Attend to diary management, meeting preparation, event attendance, travel arrangements, and ad-hoc projects as required.
  • Manage incoming calls, screen and handle all emails and messages. Establish and maintain accurate databases, distribution lists, and contact lists.
  • Process and prepare all payment requests, administer company credit cards, expense claims, and other payments.
  • Coordinate all travel arrangements, including flights, accommodation, venue bookings, and transportation, and compile detailed itineraries for the CE and CFO.
  • Ensure proper electronic storage of compliance reports and files according to defined standards.
  • Run errands and complete tasks as requested, including personal matters such as medical aid claims, subscriptions, etc.
  • Organise internal and external meetings, including venue and catering arrangements.
