About the Executive Assistant position

We are looking for an experienced Executive Assistant who will provide support with clerical tasks, ensuring all related corporate procedures are well-organised and performed in time.

A successful candidate should be able to act proactively and without guidance while understanding the company's needs and adhering to its policies.

Executive Assistant responsibilities include:

  1. Help establish contact between the executives and company employees/clients, and manage information flow
  2. Manage information for internal and external communication, including memos, emails, presentations, and reports
  3. Supervise the performance of clerical and administrative staff
  4. Assist executives in arranging their daily schedules, setting up meetings, travel, speaking engagements, and ensuring adherence to their agendas
  5. Receive and direct phone calls and distribute correspondence
  6. Manage the office filing system
  7. Perform office management operations by maintaining office supply inventory
  8. Support, coordinate, and follow-up on various projects
  9. Coordinate and collate reports and presentations
  10. Take dictation and minutes, and keep records of all minutes
  11. Work with facility staff to maintain the cleanliness and functionality of office spaces
  12. Collaborate with teams to identify goals for office events
  13. Ensure 100% accuracy in reports submitted to management
  14. Support the HR Department with recruitment and onboarding processes
  15. Assist in the development and implementation of quality control procedures, communicate quality issues, and ensure products and services meet customer and regulatory standards

Executive Assistant requirements include:

  1. 3+ years' experience in an Executive Assistant or Senior Executive Assistant role
  2. Minimum National Diploma / Degree in Business Management or equivalent recognized by SAQA
  3. Profound experience with office management systems, procedures, and major office gadgets and applications
  4. Outstanding MS Office skills (Excel, PowerPoint, Outlook) and proficiency in English
  5. Strong organizational and time management skills
  6. Excellent verbal and written communication skills
  7. Ability to maintain confidentiality and exercise discretion
