Job description

We are seeking a highly organised, proactive, and professional individual to join our team as an Executive Personal Assistant & Sales Administrator. This role provides top-level support to executives while managing administrative and sales coordination tasks. The ideal candidate is detail-oriented, confident in handling client communications, and experienced in preparing business documentation and quotations.

Key Responsibilities:

Executive & Administrative Support

  • Provide high-level administrative support to senior executives.
  • Manage calendars, schedule meetings, and coordinate client visits.
  • Prepare meeting agendas, reports, presentations, and other documents.
  • Draft emails, meeting notes, and communication on behalf of executives.
  • Support with meeting preparations and follow-ups.
  • Maintain efficient document and file management systems.

Sales & Quotations Coordination

  • Handle inbound and outbound calls and respond to customer inquiries professionally.
  • Prepare, issue, and follow up on quotations with clients in a timely manner.
  • Support the sales team with administrative tasks and order coordination.
  • Assist in CRM data entry and client relationship management.
  • Contribute to marketing efforts including social media updates and promotional material preparation.
  • Ensure smooth day-to-day office operations.

Preferred Qualifications

  • Bachelor’s degree or equivalent experience.
  • Proficient in Microsoft Office suite (Word, Excel, Outlook, PowerPoint).
  • Previous experience in administration, executive assistance, or sales support.
  • Experience in the machinery, packaging, or manufacturing industry is a strong advantage.
  • Excellent verbal and written communication skills.
  • Strong organisational and multitasking abilities with great attention to detail.
  • Ability to handle quotations, respond to technical inquiries confidently, and manage client follow-ups.
  • Capable of working independently as well as collaboratively.
  • High level of professionalism, integrity, and discretion.
  • Positive attitude, willingness to learn, and proactive approach.
  • Non-smoker.
