Job description

A Personal Assistant will be part of the CEO's office, which includes the SHERQ department.

The role primarily provides secretarial support to the CEO, Board, committees, and EXCO members, including managing the company diary and daily activities to ensure seamless operations and confidentiality.

Role: Executive Assistant to the CEO

Location: Ottery - Cape Town

Start Date: Immediate

Qualifications:

  • Grade 12
  • Minimum tertiary qualification, postgraduate degree preferred
  • Clear criminal report
  • At least 5 years of relevant experience, preferably in a medium-sized manufacturing company
  • At least 5 years as an assistant at Director level

Competencies:

Knowledge:

  • Solid knowledge of Microsoft Office Suite
  • Knowledge of office practices and imports processing

Skills:

  • Strong administrative and leadership skills
  • Excellent organizational, verbal, and written communication skills in English & Afrikaans
  • Decisiveness, emotional intelligence, team-building, computer literacy, business acumen, problem-solving, creativity, and attention to detail

Other Requirements:

The role demands exceptional organizational, communication, problem-solving skills, confidentiality, discretion, professional authority, and exposure to upskilling courses related to administration, analytics, legal, and financial secretarial knowledge.

Decision Making: Maintain standards, practices, policies, and procedures; make operational decisions aligned with business needs.

Accountability: Responsible for all activities linked to the position, including managing the company credit card and establishing effective escalation structures.

Communication: Foster transparent and responsive communication, respond to emails within 24 hours, and provide telephonic guidance as needed.

Main Responsibilities:

  • Administrative Support: Manage calendars, handle correspondence, prepare and distribute documents, and maintain accurate records.
  • Operational Support: Arrange travel, process expenses, oversee office operations, and coordinate events.
  • Strategic Support: Conduct research, assist with projects, facilitate stakeholder engagement, and monitor online reputation.
  • Confidentiality: Handle sensitive information discreetly, protect the CEO's time, and maintain confidentiality at all times.

Additional Tasks: Perform other duties as assigned, collaborate with teams, stay updated with industry trends, and pursue self-development.
