Job description

Provide or lead a full range of secretarial / administrative support to the Chief Executive Officer (CEO) of the organisation, exercising confidentiality, tact and diplomacy.

Requirements:

  • Grade 12
  • Diploma in Legal Secretarial / Paralegal
  • Minimum of 5 years experience
  • Knowledgeable about import processing

Responsibilities:

  • Administration Support: Manage the purchasing authorisation process from submission of PORs to handover of signed invoices for payment. Manage local and international travel arrangements for the CEO, including Trade and International Fairs. Arrange Forex linked to international travel. Handle ad hoc personal bookings for the CEO. Support the development and implementation of administrative standards, policies, and practices.
  • Secretarial Support: Communicate directives from the CEO to staff, follow up on assignments, manage calls, visitors, mail, email, and maintain files, records, calendars, and diaries. Control access to contracts and SLAs. Demonstrate strong communication, emotional intelligence, teamwork, computer literacy, business acumen, problem-solving, creativity, and attention to detail.
  • Imports and EForex Management: Oversee import payment processes, verify documentation, purchase Forex, coordinate with Finance on cash flow, and reconcile transactions with bank statements.
  • Other Special Requirements: Make operational decisions aligned with standards and policies. Maintain accountability for activities, escalate responsibly, and manage the company credit card.
  • Communication: Ensure transparent and responsive communication, respond to emails within 24 hours, provide telephonic guidance, and maintain good communication with management and staff.
  • Manage Insurance: Oversee vehicle insurance, manage claims, and arrange marine/transit cover as needed.

Salary: R800 000 CTC
