POSITION OVERVIEW

We seek a highly organized, proactive, and discreet Executive Assistant to support senior leadership. The role demands managing a fast-paced, complex schedule and handling various administrative, logistical, and operational tasks. The ideal candidate will have strong project management skills, exercise sound judgment with sensitive information, and prioritize tasks efficiently and independently.

This position requires working hours aligned with the United States, ensuring seamless communication across teams and stakeholders within this time zone. Flexibility to work any day between Monday and Sunday.

POSITION RESPONSIBILITIES
  • Managing a busy and complex schedule
  • Planning, logistics, and operations work
  • Providing comprehensive administrative support
  • Coordinating individual and group travel
  • Handling confidential information with discretion
  • Supporting data entry, project completion, event/meeting planning, filing, mail handling, and correspondence
  • Organizing meetings and summits from start to finish
  • Screening calls, preparing documents, managing bill payments, and record keeping
  • Creating and maintaining personal action items and follow-ups, providing status updates
  • Performing Chief of Staff level duties and/or Project Management tasks
CANDIDATE QUALIFICATIONS

  • Grade 12 education
  • Diploma or relevant certification
  • Proven experience as an Executive or Personal Assistant (preferably within a BPO)
  • Excellent English command
  • Knowledge of office management systems and procedures
  • Proficiency in MS Office (Excel, PowerPoint)
  • Strong time management and prioritization skills
  • Attention to detail and problem-solving abilities
  • Excellent communication skills
  • Strong organizational skills with multi-tasking ability

PHYSICAL REQUIREMENTS

This role is largely sedentary, requiring sitting/standing for long periods, operating office equipment, and occasional movement around the office. Ability to lift objects up to 40 pounds may be needed.
