Job description

Key Responsibilities:

  • Arrange travel, accommodation, and visa applications for the Country Manager
  • Welcome visitors and manage their logistical needs
  • Organize and support internal and external meetings
  • Coordinate major events such as QBRs, IOP, and Townhalls
  • Follow up on key actions to ensure deadlines are met
  • Assist with department projects and assignments
  • Track timelines for reports and submissions
  • Create PowerPoint presentations and compile reports
  • Maintain an efficient document management system
  • Raise purchase orders and monitor department expenses
  • Handle business/travel expense claims and ensure timely submissions
  • Verify and process department invoices and payments
  • Compile expense and accrual reports
  • Support quarterly budget forecasting

Key Metrics:

  • Efficient scheduling and calendar management for the Country Manager
  • Well-organized business travel and meeting arrangements
  • Smooth execution of all logistical aspects of meetings and events
  • Timely and accurate report and document submissions
  • Expenses tracked accurately with any discrepancies flagged

Requirements:

  • Bachelor's degree in Business Administration or related field (preferred)
  • 6+ years of experience in an Executive Assistant or similar support role
  • Strong computer skills, especially MS Office and calendar management
  • Excellent communication and organizational skills
  • Strong time management and multitasking abilities
