Our client is seeking to employ an Executive Assistant - 6 Month Contract.
Responsibilities
- Executive Calendar Management: Coordinate/manage complex calendars for senior leaders, ensuring optimal time utilization. Schedule meetings, appointments, and events.
- Strategic Support: Prepare for meetings, presentations, reports, and other critical events, including researching, analyzing data, and creating materials.
- Communication & Stakeholder Liaison: Facilitate effective communication between leaders, teams, and stakeholders, ensuring timely and accurate information exchange. Build and maintain relationships with internal and external stakeholders, including other executives, teams, vendors.
- Project Coordination and Management: Oversee and coordinate projects, ensuring timely completion, meeting expectations, and staying within budget. Track progress, identify potential issues, and develop contingency plans. Take on special projects and tasks as assigned, including research, analysis, and recommendations.
- Process Improvement: Continuously evaluate and improve processes for efficiency and effectiveness. Identify opportunities for automation, streamlining, and cost savings.
- Travel Coordination: Manage all aspects of travel for the GM, including booking flights, hotels, transportation, diary management, administration, budgeting, and payments, ensuring smooth operations and adherence to corporate governance.
- Budgeting & Expense Management: Manage and track expenses related to travel, entertainment, and other business expenditures. Develop and manage budgets for specific projects, ensuring alignment with financial goals. Identify cost-saving opportunities.
- Event Coordination & Planning: Manage procurement and inventory of corporate merchandise across sales streams, coordinate deployment for customer events, and liaise with event management companies to ensure brand consistency.
- Procurement & Inventory Management: Review and analyze office consumables requirements and budgets, monitor performance, and ensure cost-effectiveness.
- Networking & Relationship Building: Foster effective relationships with government authorities, industry stakeholders, and service providers.
- Leadership & Capability Development: Drive team development to enhance staff capabilities and ensure high-performance delivery.
Requirements
- Matric
- NQF Level 7 qualification (e.g., Diploma in Business Administration, Secretariat, or related; B. Comm Honours or CA (SA))
- At least 3 years' experience supporting senior leaders/executives in a corporate environment
- Knowledge of financial management tools (SAP, Oracle, Concur)
- Expense management experience
- Strong problem-solving and analytical skills
- Willingness to travel as required
