Executive Admin Manager

Xenia Pharmaceutical is a contract manufacturer specializing in the development and manufacturing of animal health and wellness products including farm feeds, stock remedies and veterinary medicines. Our commitment to excellence extends to every department, and we are looking for a dynamic Executive Admin Manager to join our team and support the day-to-day operations of current and future projects.

About the role:

The Executive Admin Manager will play a pivotal role in managing administrative functions across multiple projects. Working closely with the Business Developer, they will ensure that all administrative tasks are executed with precision and efficiency. Their responsibility will be to organise and maintain records, manage files, and keep project documents updated.

Job Details:

  • Job Type: Permanent
  • Location: Centurion / Midrand
  • Working Hours: Monday – Thursday: 07h00 to 17h00; Friday: 07h00 to 13h00
  • Salary: Qualification and experience dependent

Key Responsibilities:

  • Oversee day-to-day administrative operations for current and upcoming projects.
  • Maintain all project files and documents.
  • Assist the Business Developer with administrative tasks, scheduling, and project coordination.
  • Ensure reports, correspondence, and documentation are up to date and easily accessible.
  • Manage emails, appointments, and communications, ensuring smooth workflow.
  • Provide general office support to enhance team productivity and project timelines.

Requirements:

  • Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook).
  • Ability to work under pressure in a fast-paced environment.
  • Strong organisational skills with an eye for detail and time management.
  • Well-presented and professional demeanour.
  • Excellent communication skills, both verbal and written.
  • Ability to think quickly, troubleshoot problems, and handle challenges efficiently.
