Introduction
To support the events team in managing the events portfolio of the group, focusing on strategic projects such as conferences and sponsorships.
The incumbent will be responsible for planning, development, and delivery of internal and external clients' events and conferences to meet stakeholder needs and build positive experiences, elevating the JSE's brand and reputation.
KEY RESPONSIBILITIES
Business and Financial Results Management
- Contribute to the development of package benefits and elements for externally sponsored events to drive revenue generation.
- Manage each event's budget while meeting the client's event specifications and requirements.
- Support the department in meeting its expense budget by tracking costs, closing out invoices, and reporting on deviations from the budget.
- Assist in budget forecasting aligned with key departmental activities, ensuring financial planning is accurate and timely.
- Apply cost-effective strategies to deliver JSE events within budget, while meeting timelines and quality standards.
Stakeholder Relationship Management
- Engage with event and sponsorship stakeholders before and after events to ensure their needs are understood and met.
- Provide guidance to ensure group sponsorships align with the marketing strategy and brand promise.
- Collaborate with stakeholders in planning and executing conferences, ensuring objectives and resources are aligned.
- Utilize technology platforms to enhance stakeholder engagement and communication throughout the event lifecycle.
- Build relationships with colleagues and stakeholders using effective interpersonal skills.
- Document feedback and share insights with the team and vendors for improvements.
- Plan and execute events following the Group's Sponsorship and Events playbook, using project management processes.
- Coordinate delivery of conference and event elements, leveraging digital technology and vendors.
- Develop comprehensive event briefs and function sheets to outline client needs.
- Use marketing and planning technology to streamline processes and ensure effective stakeholder communication.
- Gather real-time feedback during events to address issues promptly.
- Ensure resources for events, including registration and support services, are adequate to meet service level agreements.
- Work with the Events Manager to source vendors, maintain contracts, and SLAs.
- Partner with technology providers to deliver virtual events meeting engagement standards.
- Supervise temporary staff and interns to ensure standards and support for events.
- Contribute to planning enterprise-wide conferences and sponsorship events with management and stakeholders.
- Implement processes to enhance stakeholder engagement and maximize partnership value.
- Ensure event benefits are delivered per sponsorship agreements.
- Oversee and govern the Events' supplier base to optimize performance.
- Implement compliance requirements related to sponsorships within operations.
- Collect feedback to assess the effectiveness of Sponsorships and Events, ensuring alignment with brand objectives and KPIs.
Minimum Qualifications and Experience
- Grade 12 and relevant tertiary qualification; a related diploma or certificate is advantageous.
- 4-5 years of experience in an Events Management role.
- Experience coordinating large-scale conferences and events.
- Project administration experience is an advantage.
